Microsoft Teams is included in every Microsoft 365 Business subscription and covers messaging, video calls, file sharing and channel-based team communication. For businesses already paying for Microsoft 365, using Teams costs nothing extra and removes the need for a separate messaging tool. Google Chat is the equivalent for Google Workspace subscribers. If your team is on neither platform, Slack is a capable standalone option — but adds a subscription on top of your existing productivity stack.

File Storage & Document Management

For Microsoft 365 businesses: individual files go in OneDrive, shared business files go in SharePoint — not in someone’s personal OneDrive. For Google Workspace businesses: Google Drive with Shared Drives for team files. Businesses paying for Dropbox, Box or similar cloud storage in addition to an existing Microsoft 365 or Google Workspace subscription are almost always paying twice for the same capability. Consolidate onto the platform you are already using.

Password Management

Every Gold Coast business with more than one staff member needs a password manager. Bitwarden Business is open source, independently audited, affordable and straightforward to deploy across a team. 1Password Business is a well-regarded alternative with a strong track record. LastPass is not recommended following its 2022 security breach. Using a browser to save passwords is not a substitute — it does not enforce strong passwords, share credentials securely or revoke access when a staff member leaves.

Endpoint Security & Antivirus

Microsoft Defender for Business — included in Microsoft 365 Business Premium — provides centralised endpoint detection, response and management across all staff devices. For businesses on lower Microsoft 365 tiers, Malwarebytes Business is a recommended supplement. Avoid free consumer antivirus products in a business environment — they lack central management and are not designed for team deployments. Free is not an appropriate security budget for a business.

Backup

Microsoft 365 is not a backup — it synchronises data and retains deleted items for a limited period, but does not provide point-in-time recovery. A third-party backup solution covering Exchange, OneDrive and SharePoint is essential for any Gold Coast business relying on Microsoft 365. Veeam Backup for Microsoft 365 and Backupify are both reliable options. For endpoint backup, Veeam Agent and Acronis Cyber Backup are recommended for Windows environments.

Remote Access & Support
