Started your business on a Microsoft 365 Personal account — and now you have staff, multiple email addresses and files scattered across one shared login? Moving your Gold Coast business to a properly configured Microsoft 365 Business tenancy is not complicated, but it needs to be done right. We plan and execute the migration so nothing is lost and your team is set up correctly from day one.
Quick Summary
The Problem
A lot of Gold Coast small businesses start on Microsoft 365 Personal. It makes sense at the time — one person, one device, one subscription. But businesses grow. Staff are hired. Files need to be shared. And at some point the same login that worked for one person becomes the entire company’s Microsoft account. Everyone signs in with the owner’s credentials. OneDrive is a shared folder one accidental deletion away from a serious problem. There is no way to disable a former employee’s access. There is no admin control over who can see what.
That is not a Microsoft 365 problem — it is the right product being used for the wrong situation. Microsoft 365 Personal is designed for one person. Microsoft 365 Business is designed for a team. The migration from one to the other is not technically complex, but it needs to be planned carefully to avoid losing email history, breaking existing workflows or creating a period where your Gold Coast team is locked out of the tools they rely on.
Your whole team is sharing one Microsoft login.
When everyone uses the owner’s account, there is no audit trail, no individual accountability and no way to revoke access when someone leaves.
Files are in OneDrive but nobody knows whose OneDrive.
Consumer OneDrive is personal storage. When the account holder leaves — or forgets their password — the files go with them. SharePoint is where business files belong.
A staff member left and you’re not sure they can still access your business files.
Without individual accounts and admin controls, offboarding a staff member from your Microsoft 365 environment is not straightforward. With Microsoft 365 Business, it is a two-click operation.
Your staff email addresses don’t match your business domain.
Staff using gmail.com or @hotmail.com addresses for business email, or all sharing one info@yourdomain.com address, signals a business that hasn’t fully set up its platform. Every staff member should have their own firstname@yourdomain.com account.
What We Do
We plan and execute cloud migrations for Gold Coast small businesses — from first-time Microsoft 365 setup through to complex cross-platform migrations. Every migration includes MFA configuration and a security baseline as standard. For strategic advice on whether a cloud platform is right for your business see our IT consulting strategy Gold Coast page.
New Microsoft 365 Business tenancy created, business domain connected, staff accounts configured and email live on your Gold Coast business domain. Admin roles assigned, security baseline applied and MFA enabled for all users before handover.
The most common migration for growing Gold Coast businesses — existing email, OneDrive files, contacts and calendar migrated from a Personal account to a properly structured Business tenancy with individual accounts for every staff member. Email history preserved, zero data loss.
Email accounts migrated from cPanel hosting, Synergy Wholesale, legacy on-premise mail servers and other IMAP or POP3 systems to Microsoft 365 Business — full email history transferred, existing addresses preserved and MX records updated with minimal downtime.
Full platform migration for Gold Coast businesses moving from Google Workspace to Microsoft 365 — email, contacts, calendar and Drive files migrated to the equivalent Microsoft 365 services. Staff trained on the new platform before cutover.
For Gold Coast businesses moving in the other direction — Exchange email, OneDrive files, contacts and calendar migrated to Google Workspace with continuity. MX record cutover planned to minimise downtime.
Business files migrated from local drives, NAS devices, Dropbox, Google Drive and consumer OneDrive into the correct OneDrive and SharePoint structure for your Gold Coast Microsoft 365 Business tenancy — folder permissions set correctly and staff briefed on the new file structure.
Multi-factor authentication enabled for all users, conditional access policies configured, admin account security hardened and Microsoft Secure Score reviewed as part of every migration and setup engagement. Not an add-on — included as standard.
Why Migrations Need Planning
Email migrations that are not planned carefully can result in lost email history, duplicate accounts, broken distribution groups or a cutover period where staff cannot send or receive email. OneDrive migrations that skip the file structure planning stage often recreate the same disorganised folder chaos in the cloud that existed on the local drive. MFA rolled out without user preparation causes lockouts. None of these outcomes are inevitable — they are the result of migrating without a plan. We document the current state, test before cutting over and communicate with your team before anything changes. What You Get
A cloud migration is not a goal in itself. What matters is what your business looks like on the other side.
Individual Microsoft 365 Business accounts for every member of your Gold Coast team — their own email address, their own OneDrive storage, their own login. When someone joins you add an account. When someone leaves you disable one. Simple and in your control.
MFA enabled across all accounts, admin roles correctly assigned, conditional access policies applied and Microsoft Secure Score reviewed. Your Gold Coast business Microsoft 365 tenancy is configured the way Microsoft intends it to be — not the way it arrives out of the box.
Personal files in individual OneDrive accounts. Shared business files in SharePoint with the right permissions. No more “can you share that folder with me” because someone saved a client file in their personal OneDrive. Structure that makes sense and permissions that match who actually needs access.
Microsoft 365 sync is not a backup. We configure a third-party cloud backup solution covering Exchange email, OneDrive and SharePoint so your Gold Coast business data is recoverable from accidental deletion, ransomware or account compromise — not just accessible from multiple devices.
If your Gold Coast business is on managed IT services with Bcom, Microsoft 365 management, user provisioning, licence management and MFA administration are included in the ongoing arrangement. See our managed IT services Gold Coast page for details.

How It Works
Every migration is different in detail but follows the same four stages. Here is what the process looks like.
Before anything is moved we map your current state — what accounts exist, where your files live, what your email setup looks like and what your team actually uses day to day. This is the stage most DIY migrations skip, and it is why they run into problems.
We produce a migration plan specific to your Gold Coast business — what moves first, what the cutover window is, what your staff need to know beforehand and what the rollback position is if something unexpected happens. You approve the plan before anything changes.
Files, email and account configurations are migrated and tested in a staging state before cutover. Staff accounts are prepared, MFA is enrolled and the new environment is confirmed working before the old one is switched off. The cutover window is planned to minimise disruption to your Gold Coast team.
After cutover we confirm everything is working, brief your staff on the new environment and hand over admin credentials with documentation. You know how to add a new user, reset a password and manage licences — or we handle that for you as part of an ongoing managed IT arrangement.
